What a complete invoice includes
A clear invoice gets paid faster. Include your business name and contact details, the client's name and address, a unique invoice number, the issue date and due date, an itemised list of goods or services with quantity and price, any discount, tax, the total, and payment instructions in the notes, such as bank details or accepted payment methods.
The generator calculates line totals, the subtotal, discount, tax and grand total for you and produces a PDF ready to send. You can pick the currency your client pays in.
How discount and tax are applied
The discount is an amount subtracted from the subtotal, and tax is then calculated as a percentage of the discounted amount, which is how VAT, GST and sales tax are normally applied. Example: a subtotal of 1,000 with a 100 discount and 18% tax gives 900 taxable, 162 tax and a total of 1,062.
Tax rules differ by country. If you're registered for VAT or GST, local law may require specific details, such as your tax registration number and the client's, or tax shown per line, so check what applies to you and add it in the business details or notes.
Good invoicing habits
Number invoices sequentially (for example INV-2026-001) and never reuse a number; accountants and tax authorities expect an unbroken sequence. State payment terms clearly, such as "due within 14 days", and send the invoice as soon as the work is delivered.
Nothing you enter is saved or uploaded: the PDF is created in your browser. Keep a copy of every invoice you send, since you'll need them for your records and tax returns.
Frequently asked questions
Is my invoice data stored anywhere?
No. The invoice is built in your browser and downloaded as a PDF; nothing is saved on KitLoop's servers.
Is tax calculated before or after the discount?
After. Tax is applied to the subtotal minus the discount.
Do I need a different invoice for VAT or GST?
Registered businesses often must show extra details such as tax registration numbers. Check your local rules and add them to the invoice.
